One of our clients, a medical center that provides applied behavior analysis therapy for young children with autism, faced challenges in managing their schedules. The center spent a considerable amount of time manually creating, managing, and rescheduling appointments for both staff and clients. They needed an internal tool to streamline scheduling, dynamically manage appointments in case of cancellations, and optimize staff availability.
They turned to Varyence for design and development of a new platform that could scale across all their locations.
We created a browser-based platform that allows them to:
- Create locations within the application
- Add employees and clients
- Form teams
- Configure custom rules on which employees can help with types of patients
- Take into account planned and unplanned employee absences
- Generate and refresh schedules for distribution
This healthcare organization now has a convenient management system that automates scheduling, reducing manual efforts and enabling them to scale their business to more locations.
Customer Challenge
- Provide user-friendly and intuitive design for internal staff and other centers.
- Eliminate the need for manual appointment creation, management, and rescheduling for both staff and patients.
- Enable dynamically managed appointments, especially in cases of cancellations or sudden change.
- Allow adding new partner centers and insurance details.
- Enable adjusting session duration and replacing clinicians with others from the available specialist list.
- Enable viewing schedules by location, team, or day/week.
Design Journey

User research and analysis
- Customer spoke with clinicians, doctors, staff of medical center and patients to understand their needs and experiences.
